Hotel setting illustrating the guide

The same stay passes through reservations, reception, housekeeping and guest relations. A simple workflow map can show where important details are being repeated or missed.

Begin with arrivals

List the information a front desk colleague needs before a guest arrives: reservation details, room allocation, readiness and any relevant requests. Identify which team owns each update.

Make handovers explicit

Walk through the transition from room cleaning to room release. Decide who can change a status and how the next team learns that it has changed.

Plan for exceptions

A late checkout, room move or amended reservation can affect several colleagues. Document who resolves the exception and where the final decision will be visible.

Keep the map practical

Review the workflow with the people who perform it. Focus on a small number of clear statuses and actions before adding more automation.
